UST Centralizes Event Registration and Execution Process on Campus

What you need to know for a successful campus event.

Planning and booking a small or large event on campus or off campus for your club, program or department may seem daunting, but know that you are not alone in the process.

Faculty, staff and student groups need to tap the professional services of the University Events Office, which is under the Marketing and University Relations Department.

One-Stop-Shop, Your Event Starts Here

This one-stop-shop process covers everything from making a reservation for your event to audio visual to consulting services.

“We have you covered,” Shannon Broussard, director of University Events, said. “Your event starts here. When you are thinking of hosting at UST or externally, consider inviting the events team to your planning meeting.”

Why Centralize the Event Process?

Centralizing your process informs the campus and community of your event and activities that take place on campus. The coordinated booking and execution help to ensure success and maintain a consistent University brand.

The University Events Office schedules all large meetings and happenings on campus. “Our professional team uses state-of-the-art software, Ad Astra, to request and book events on the campus,” Broussard said. “The process keeps conflicts from arising, making sure the entire campus knows what’s going on and can plan accordingly.”

New Master Calendar Feature Launched

This includes an update for a new master calendar feature, and how to submit a listing. On the University Events Page www.stthom.edu/universityevents click “Dashboard” for featured affairs and helpful links.

From Small Events to Galas, Events has you Covered

In addition, the events team has skilled professionals with the ability to consult, market, manage and execute activities whether they are small, intimate events or large-scale galas.

 “University Events provides coordination services for signature university occasions in Advancement, Alumni, Office of the President and other campus happenings central to our mission, including Commencement and milestone celebrations such as groundbreakings and building openings,” Broussard said.

From AV to Video Storytelling

“We also produce videos with a storytelling emphasis and oversee audio-visual needs for all non-academic campus events and meetings,” Broussard said.

Please note that only students are allowed to host some in-person meetings on the campus until further notice.
